Belmont Theatre Company - Privacy Policy Appendix 1
This Appendix forms part of the Privacy Policy of Belmont Theatre Company (known as ‘The Club’ in this Appendix) and specifically deals with the rights of Members and Patrons of the group.

Members and Patrons
1. Members’ and Patrons’ Personal lnformation
The Club only collects personal information that is necessary for the purposes of its legitimate interests as a Members’ club. The Club maintains a database which includes their Members’ or Patrons’ status, names, email addresses, telephone numbers and home addresses of club Members and Patrons and their preferred aspects and level of theatrical involvement. The Club collect this data from the subscription forms which Members and Patrons complete when they join The Club or renew their annual Members and Patronship.
The personal information which we hold is used solely for the purpose of running The Club. This comprises:
(i) the administration of our Members and Patrons and enabling contact with The Club
(ii) the communication of relevant information to Members and Patrons relating to The Club
(iii) enabling The Club to function in line with the aims of its Constitution.
The Club does not share Members’ and Patrons' personal information with any other individuals or organisations. The only exception to this might be our insurers in the event of a claim against The Club or where we are legally obliged to.
2.The storing of Members’ and Patrons' Personal lnformation
How Members’ and Patrons' personal information is stored.
(i)Some information, notably club Members’ and Patrons' names and email addresses, is stored on the password protected home computers of those officers of The Club who have responsibility for organising specific activities e.g. Front of House assistance at shows.
(ii) Members’ and Patrons' names, their subscription forms and records of payments are stored at the home of The Club Treasurer as part of The Club's accounts, as are bank details for Members and Patrons claiming reimbursement of expenses or paying club subscription fees.
3. Retention of Personal lnformation
The Club retains personal information for a reasonable period of time when Membership and Patronship lapses in case the person asks to rejoin, but The Club will always dispose of this on request. lf a member dies, we will only retain their personal information until after the audit of the end of that financial year.
4. Members’ and Patrons' Rights
All Members and Patrons have the right to:
(i) request details of their personal information that The Club holds and to be able to check that it is correct
(ii) elect not to receive information via email from The Club
(iii) receive emails using a bcc facility in order that his/her email address is not disclosed to other recipients
(iv) stipulate that The Club should not disclose their email and or telephone number to other club Members and Patrons.
(v) ask The Club to amend or delete any personal information which The Club holds.
Any Member or Patron wishing to discuss any aspect of this policy or exercise any of their rights should contact the Secretary of The Club.
